How does the auto-tag assistant work?

Baselane's auto-tag assistant uses AI to categorize transactions in real-time for all your properties, so your books are always balanced and ready for tax season. You get time back without giving up control of reviewing and adjusting any AI auto-tags.

The auto-tag assistant is available as part of Baselane Smart. To enjoy a 30-day trial of Baselane Smart, log into your Baselane account and click the Smart “Upgrade now” icon in the main navigation bar.

How to turn on the auto-tag assistant

1. Go to the Transactions tab or your Baselane Banking account.
2. Click Manage Automations.
3. On the upper right-hand side, you’ll see auto-tag assistant. Select Enable.

4. The Enable auto-tag assistant drawer will open. By default, the 'Apply to future transactions' option is already checked and cannot be changed.
   • New transactions are automatically categorized by our AI, unless they are already tagged by your custom rules.
   • Advanced tagging rules always take priority over AI.
5. You can also choose to Apply to past transactions.
   • Our AI will categorize past transactions that are not already categorized.
6. Once you’ve made your selections, click Enable now.

4. A confirmation will appear in the drawer:
   • Future transactions will now be categorized automatically by the auto-tag assistant, unless they are tagged by your advanced tagging rules.
   • If you enabled past transactions, the assistant will confirm that it is categorizing any uncategorized past transactions.
   • This may take a few minutes, but you can click Done and leave the page while the assistant tags past transactions.

Note: You can disable auto-tag assistant at any time from Manage Automations.

How to review transactions tagged by the auto-tag assistant

1. Once auto-tag assistant is enabled, go to the Transactions tab.
2. Next to the search bar, use the Needs review filter to view all transactions that have been tagged by the auto-tag assistant.
   • Toggle between Needs review and Reviewed to see which transactions are still awaiting your review and which ones you’ve already marked.
   • You can also quickly filter transactions tagged by AI using the Tagged by AI filter in the Transactions tab.
     
     
3. Review each transaction under 'Needs review', double-check the tag, and mark it as reviewed.

Note: If auto-tag assistant incorrectly tags a transaction and you update it, this change will not be automatically applied to similar transactions in the future, unless you create an Advanced Tagging Rule

4. Under the Reviewed filter, you can see all transactions you’ve already marked as reviewed.
5. At any time, you can edit any AI-tagged transaction (whether under Needs review or Reviewed) to:
   • Split a transaction
   • Edit the tag
   • Add a note
   • Manually attach a receipt

How to disable the auto-tag assistant

1. Go to the Transactions tab or your Baselane Banking account.
2. Click Manage Automations.
3. Select auto-tag assistant and choose Disable.
4. A confirmation pop-up will appear with the message:
   Disable auto-tag assistant. Your future transactions will not be categorized by the auto-tag assistant.
5. Select Disable to confirm.

Note: All transactions that have already been tagged by AI will remain categorized. They will not be uncategorized after disabling.

Frequently asked questions

Who can use the auto-tag assistant?

Can I disable the auto-tag assistant after I enable it?
Yes. You can disable auto-tag assistant at any time from Manage Automations. Once disabled, new transactions will no longer be tagged by the assistant.

Does the auto-tag assistant override my advanced tagging rules?
No. Advanced tagging rules always take priority. If a rule exists, it will apply before AI tags the transaction.

If I change the tag on a transaction, will the auto-tag assistant learn from it?
Not currently. Updates you make to transactions tagged by AI do not automatically apply to future transactions. For consistency, we recommend creating an advanced tagging rule. 

We plan to roll out learning capabilities in the future, enabling the assistant to better adapt to your edits.

Can I apply the auto-tag assistant to past transactions later if I skip it during setup?
Yes. You can return to Manage automations at any time and choose to enable the auto-tag assistant for past transactions that are not already categorized.

How long does it take to tag past transactions?
It only takes a few minutes. Once the auto-tag assistant is enabled, you can leave the page while our AI tags transactions in the background.

Can I still edit transactions that the auto-tag assistant has tagged?
Yes. You can always review, edit, split, add notes, or attach receipts (automatically or manually) to any transaction that the auto-tag assistant has tagged.
